Allen Key Edits is committed to protecting and respecting your privacy and the privacy of your data. This policy sets out what personal data I collect from you, or that you provide to me, how it is used, and how we keep it secure. Personal Information
Information provided for delivering services. This includes:
- Contact names
- Postal address
- Institutional affiliation and address
- Phone number(s)
- Personal and work email addresses
- Name, VAT and business numbers of your employer if they will be paying for my editing services
- A record of my quotation, invoice, and your payment to me as required by law
- Information pertinent to your request for services (e.g., word count, nature of project)
- Email correspondence about the editing project
- Original manuscript/document you wish to have edited and its final edited version.
Purposes of Use
Your information will not be sold, exchanged, or given to any other company without your consent. I will use your information only for the purposes below:
- To provide my services, plus reminders (checking in with progress) and invoices
- To improve service allowing me to respond to requests and provide support
- To send periodic emails, including telling you about my services
Processing of Data
I process your personal information to deliver, improve, update, and enhance the services I provide under the terms of your agreements.
I may also contact you directly with offers for additional services I think you’ll find valuable if you provide consent. See below about how to withhold your consent.
Use of Cookies
Data Retention
I follow generally accepted standards to store and protect the personal information I collect, both during transmission and once received and stored, including utilisation of encryption where appropriate.
The personal information is retained for no longer than is necessary to provide the services you have requested and thereafter for legitimate legal or business purposes including:
- required by law, contract, or similar obligations applicable to our business operations
- for preserving, resolving, defending, or enforcing legal/contractual rights
- maintaining adequate and accurate business and financial records
Personal data, pseudonymized data, or anonymized impersonal data that is part of your research, contained within your manuscript/document, and for which you are responsible may also include special-category data such as information on health, race, sexual orientation, religion, or political beliefs. I will store and use this data only if you send it to me as part of your manuscript/ document for the specific purpose of editing it for research publication.
I keep personal data that you provide to me for at least ten years to comply with tax obligations and for administrative purposes. The relevant tax authorities require me to keep tax records for at least ten years following the end of the year in which the services were provided. All email communications are deleted and purged after ten years.
Withdrawing Consent
You can withdraw consent to any use I make of your personal information by emailing me at moc.liamg@stideyeknella. However, you cannot withdraw consent for processing necessary to provide a service you have requested unless you also ask me to no longer provide the service.
How we keep your data safe
I do not sell or otherwise provide your personal information to third parties for marketing purposes.
I do not share your data except for administrative purposes. My accountant, tax authorities, and the providers of my website and email hosting services, cloud backup system, and banking services may have access to the personal or impersonal data you provide to me. All of these parties are GDPR-compliant and/or are self-certified under the EU-US Privacy Shield Framework.
Changes to our Privacy Policy
If I make material changes to my privacy policy, I will publish a notice via my website and inform you via email.
Access to Personal Information
You can email me at moc.liamg@stideyeknella with GDPR in the subject line to request access to, or correction or deletion of, your data.
Right to complain
If you consider that I have failed to comply with this Privacy Policy and/or Data Protection Legislation in relation to information about you which I hold or process, you have a right to make a complaint to the relevant supervisory authority, which in the UK is the Information Commissioner’s Office.
